1. Background
The Regional Center for Renewable Energy and Energy Efficiency (RCREEE) is an intergovernmental organization that supports the expansion of renewable energy and energy efficiency practices across the Arab region.
In line with its mission to lead a regional dialogue on energy transition in the MENA Region and foster cooperation on sustainable energy, RCREEE is organizing its flagship event, under the new name of “Arab Sustainable Energy Week – Conference & Exhibition”, this regional event that promotes knowledge-sharing, innovation, investment, and policy alignment.
2. Overview of past editions
RCREEE successfully organized three consecutive editions of Sustainable Energy Week, positioning the event as a leading platform for promoting High-Level policy dialogue and advancing sustainable energy cooperation and partnerships in the region.
The 1st edition, the Cairo Sustainable Energy Week 2023, held from 1 to 3 October, in partnership with the League of Arab States, brought together participants from across the Arab region, featuring high-level policy sessions, technical panels, showcasing high potential and emerging innovations in the region.
The 2nd Edition, the Cairo Sustainable Energy Week 2024, held from 1 to 3 October, expanded in both scope and participation. A series of two parallel sessions enabling targeted discussions on topics such as regional cooperation, clean hydrogen, energy efficiency, WEF Nexus, women and youth empowerment in energy, and regional policy harmonization.
This comprehensive model was replicated and further elevated in the third edition, the Kuwait Sustainable Energy Week 2025, held from 11 to 13 May, Conference and Exhibition, once again the event created an influential space for regional investment matchmaking and strategic cooperation.
The 2025 edition in Kuwait marked a strategic shift toward Gulf region engagement and reinforced RCREEE’s leadership in driving inclusive, action-oriented energy dialogue across the MENA and GCC regions.
3. Purpose of the call
The Purpose of this Call for Expression of Interest is to invite qualified companies to express their interest in developing a comprehensive plan, implementing, and overseeing all logistical and administrative components of the “Arab Sustainable Energy Week 2026 – Conference & Exhibition, to be held in Jordan from 09 to 11 February 2026, on behalf of RCREEE and the host country.
Key objectives include
- To ensure smooth, timely, and high-quality organization of the event, in accordance with RCREEE’s mandate and regional scope,
- To promote visibility of RCREEE’s work and the broader MENA region’s progress on renewable energy and energy efficiency,
- To facilitate strong engagement from the stakeholders, private sector actors, civil society and donors,
- To apply sustainable event management practices and reduce environmental impacts,
- To facilitate technical exchanges and B2B/B2G matchmaking based on specific investment opportunities,
- To ensure all activities align with RCREEE’s values for gender equity, regional inclusion, and climate impact.
This Expressions of interest will be used to pre-qualify candidates for a subsequent invitation to tender. This is not a bid or a contract award.
4. Scope of Work
The Organizing Company shall be responsible for the full planning and execution of the event, under the strategic direction of RCREEE. Tasks include but are not limited to:
4.1 Event Planning and Coordination
- Develop an overall implementation plan with clear timelines and milestones.
- Identify and book a suitable venue in coordination with RCREEE and hosting country, considering accessibility, sustainability, and regional representation.
- Support logistical arrangements for participants, speakers, and VIPs including visas, accommodation, and transport.
- Advanced digital tools for participant and speaker management (e.g., advanced online scheduling platforms with personalized agendas for technical tracks).
- Develop comprehensive project plan and timeline in coordination with RCREEE.
- Regularly update and review progress with RCREEE dedicated focal points.
4.2 Content and Program Support
- Assist in structuring the agenda.
- Coordinate speaker and panelist logistics,
- Manage side events, regional initiatives and country showcases relevant to RCREEE’s member states,
- Support in identifying topics and speakers on the regional level in relevant areas.
4.3 Logistics and Operations
- Manage registration, invitations, visas, accommodation, and local transportation for attendees.
- Oversee venue arrangements (meeting rooms, exhibitions, accessibility, etc.).
- Support VIP and speaker protocol arrangements.
- Ensure compliance with sustainable event standards (waste management, resource use, etc.).
4.4 Exhibition and Sponsorship
- Design and manage an exhibition area, ensuring visibility for partners, facilitating demonstrations of innovative technologies (e.g., interactive displays) for regional energy stakeholders,
- Develop sponsorship packages and actively engage potential sponsors.
- Ensure transparency in sponsor selection.
4.5 Communication and Outreach
Coordinate with RCREEE’s Communication Unit to:
- Develop communications and branding strategy, ensuring consistency,
- Oversee event website, social media, and digital outreach campaigns.
- Manage media engagement and press releases.
- Coordinate content production (programs, banners, press kits, technical summaries).
- Ensure alignment with institutional branding.
- Prepare post-event communication materials (event summaries, media coverage reports, etc.)
- Conduct pre- and post-event surveys, to capture feedback and impact.
- Collect and report on key indicators (e.g., participation rate, diversity, media reach).
- Submit interim and final reports to RCREEE, covering participant statistics, outcomes, and lessons learned.
4.7. Deliverables & Timeline
- Detailed project plan with milestones and deadlines,
- Communication Toolkit (Including promotional materials, media plan, branding guidelines, and social media calendar).
- Monthly progress updates.
- Final event report (Comprehensive event report submitted within 30 days of conclusion).
- Comprehensive sponsor and exhibitor list and contracts.
- Communications outputs (media clippings, publicity metrics).
5. Team and Qualifications
The selected Organizing Company must demonstrate:
- Proven experience in international and regional event management preferably in sustainable energy, climate, or development sectors.
- Key team members are event managers, logistics lead, communications lead, sustainability advisor, etc.
- Expertise in event marketing, sponsorship acquisition, and stakeholder engagement.
- Proven expertise in managing digital event platforms, including virtual/hybrid components,
- Previous collaboration with international organizations and governments, (UN agencies, is an advantage).
- Language proficiency: English and Arabic, (French is a plus).
6. Management and Oversight
The Organizing Company will work under the direct supervision of RCREEE’s Management.
Regular coordination meetings will be scheduled, and RCREEE will retain final approval authority over all key decisions.
7. Ethical and Environmental Considerations
The Organizing Company shall:
- Uphold RCREEE’s principles of integrity, neutrality, and transparency.
- Implement inclusive practices, ensuring participation of women, youth, and persons with disabilities.
- Minimize carbon footprint by prioritizing local sourcing, reducing waste, and using digital materials where possible.
- Avoid any conflicts of interest, particularly in relation to sponsors or content partners.
8. Submission requirements
The Organizing Company shall provide the following information as part of the Expression of Interest:
- Company profile (including the legal name, year established, core competencies, and geographic reach),
- An overview of notable events delivered,
- Brief description of the proposed methodology and approach to the event,
- Financial capacity to undertake the assignment (A detailed financial proposal is not required at this stage).
- Company registration documents and references.
The Expressions of Interest will be screened for eligibility, experience, and capability.
Shortlisted candidates may be invited to proceed to the next stage with a more detailed proposal.
